Meeting Minutes

April 22, 2009

 

Public Comment:

  • None

 

Meeting Called to Order at 7:00 p.m. by:

                Mike Adams, Chairman

 

Approval of March meeting minutes:

  • Motion to approve March meeting minutes made by:

                Motion to approve March meeting minutes voted on and passed.

 

Correspondence:

  • Mike passed around a thank you card from Barb O’Malley-Wikstrom for the flowers the Board sent to her mother’s funeral.
  • Bob H. announced that Ken Mannon is recovering from heart surgery and Mike announced that Loren Maxey’s wife, Kathy has been diagnosed with terminal cancer.

 

Presentations:

  • Queen’s

o  Lillie reported on their recent and upcoming events. 

  • Ovations

o  Kyra reported that Gnarly Barley Beer Fest information is on the Fair Web Site.  She also passed out “save the date” magnets.   June 1st is deadline for Brewer’s to enter.

 

Chairman’s Topics:  Mike Adams

  • Review/Debrief Strategy Session

o  Mike  distributed a committee punch list for each committee member

·  In the future each committee needs to develop a year long planning timeline.

o  Passed out updated list of “Partnering Program” and asked for Board members to fill in areas that need more help.

 

Committee Reports:

  • Animal Welfare – Shannon Fancher

o  Waiting for County Attorney to okay animal welfare statement before publishing on the Fair

Web Site.

o  Shannon will meet with Tim Palmer to go over protocol for handling animal welfare issues/protesters .

  • Pancake Breakfast –Melora & Pat reported on progress.  Lisa announced that there will be hot air balloon launching during the breakfast.
  •  Parade –Melora reported the permit has been applied for and the Loveland Police Department is very supportive.  Not using Traffic Masters this year.  We will be allowed to use Fairgrounds Park for staging. Melora passed out parade assignments.  The parade Grand Marshal has been determined but will be announced at a later date.

 

Volunteers:  Jacque Loebig

  • Committee chairs need to get information on needs, skills, and material requirements to John Lee for entering into software program.

 

Junior Livestock Sale:  No report due to Gregg Melick being absent

 

 

Extension: Laurel Kubin

  • The list of 2009 4-H superintendents will be e-mailed to Board members.
  • 4-H Service Project

o  Look into a 4-H group to help with painting and carpentry needs for The Farmer for a Day exhibit.

o  Alan Rankin volunteered to ask Sweet Heart Riders to do this.

 

 

 

Rodeo:   Steve Humann

  • Myrna suggested announcing the Grand Marshal at the rodeos and possibly giving 2 tickets to all three of the performances.   Steve agreed to provide these.

 

Ranch Updates:   Lisa Lytle & Liz Garcia

  • Bldgs & Grounds

o  Layout map passed out.

o  Possibility of a BBQ for volunteers

o  Looking into having a contest for families that come to the Fair.

  • Entertainment

o  Bids are out on sound stage

  • Arena Activities – no report
  • Website updates

o  Send any changes for the Web Site to Lisa

o  Schedule will be broken down for easier searching

  • Marketing – Ryan Young

o  Full marketing report ready by next meeting.

o  Advertising is ahead of last year’s schedule

o  Poster distribution ready by end of April.

  • Sponsorships – Katie Buttermore

o  Ranch-Way Feeds is presenting sponsor for the 2009 Fair.

o  Budweiser sponsoring Gnarly Barley Beer Fest

o  Pederson Toyota sponsoring the PRCA Rodeo

o  Confirmed to date - $46,500 cash and $42,950 in trade

 

Other/New Business:

  • John Lee reported on the successful Fair Board participation at the Spring Showcase and wishes to make it a yearly event.
  • Volunteer Needs

o  Historian

o  Personal Interest Stories –Don Svedman will be the contact person, please direct feature stories to him.

o  Town Captains – Board member who will distribute marketing information to their designated town.
